Privacy Policy

This policy applies to: (a) the ROBOTRAIN website at robotrain.ai; (b) our data capture operations in physical environments; and (c) any datasets, deliverables, or communications we produce or transmit. It does not cover third-party services you access through links on our site.

When we conduct robot demonstration sessions, we may collect:

• Video and depth footage — RGB and optional RGB-D streams from head-mounted, wrist-mounted, or static cameras at agreed venues and scenarios.
• Motion and telemetry signals — IMU readings, robot joint states, controller inputs, and task-completion events synchronized with video.
• Scene context — environment layout notes, object sets, and task metadata documented in the dataset brief.
• Human demonstrator activity — hand and arm movements visible in egocentric footage. We do not intentionally capture full facial images or voice recordings unless explicitly agreed in writing.

Where human demonstrators are present during capture:

• We obtain written informed consent from each demonstrator prior to recording, covering the intended use (robot learning dataset), distribution scope, and retention period.
• Demonstrators may withdraw consent at any time before final delivery; affected episodes will be removed from the dataset.
• We apply reasonable anonymisation steps — including blurring bystander faces incidentally captured — unless a client contract specifies otherwise for internal-only datasets.
• Third-party bystanders in capture environments are informed through visible signage where required by local law.

When you visit robotrain.ai we may collect:

• Inquiry form submissions — name, work email, company, interest category, and any note you include.
• Technical data — IP address, browser type, referring URL, and page interaction data collected automatically via server logs or analytics.

We do not use advertising trackers or sell website visitor data. If we introduce analytics in the future we will update this policy before doing so.

We use the data we hold to:

• Respond to inquiries and fulfil dataset contracts.
• Train, evaluate, and benchmark robot learning systems as agreed with clients.
• Publish open or restricted research datasets on platforms such as Hugging Face, subject to demonstrator consent and client terms.
• Maintain records required by our data processing agreements and applicable law.
• Improve our capture protocols and quality-assurance procedures.

We do not use capture footage for identity recognition, surveillance, biometric profiling, or purposes outside the agreed dataset scope without explicit additional consent.

We share personal data only as follows:

• Clients — dataset bundles are delivered exclusively to the commissioning organisation under contract. Exclusivity and NDA terms restrict onward sharing.
• Open datasets — where a dataset is published openly (e.g., the robtrain-multi-cam-sample on Hugging Face), release is preceded by demonstrator consent review and anonymisation review.
• Service providers — we engage processors (e.g., cloud storage, email delivery) under data processing agreements that restrict their use to our instructions.
• Legal obligations — we may disclose data to authorities when required by applicable law, court order, or to protect the safety of persons.

Raw capture footage is retained for the period specified in the client contract, typically 90 days after final delivery, after which it is securely deleted unless a longer period is agreed or required by law. Annotated datasets that are published remain available for the duration of that publication. Website inquiry data is retained for up to 24 months.

We protect data with encrypted transfer protocols, access controls limited to authorised personnel, and secure deletion procedures. No method of transmission over the internet is completely secure; we cannot guarantee absolute security, but we apply commercially reasonable safeguards proportionate to the sensitivity of the data.

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict processing of your personal data, or to object to certain uses. Demonstrators and website users may submit requests to founders@robotrain.ai. We will respond within 30 days.

ROBOTRAIN operates primarily in India. If personal data is transferred to jurisdictions with different data-protection standards, we implement appropriate safeguards such as contractual clauses. By engaging our services, you acknowledge that your data may be processed where we or our service providers operate.

Our services are directed at businesses and research institutions. We do not knowingly collect personal data from individuals under 18. If you believe we have inadvertently collected such data, contact us and we will delete it promptly.

We may update this policy as our services evolve. Material changes will be noted by a revised effective date at the top of this page. Continued use of our services after a change constitutes acceptance of the updated policy.
